Transcript 4: Part Time
Juanita
Before we start scheduling the part-timers, let’s take a quick look at the full-timers. Let’s see where it’s hard to schedule them.
Bill
Carlotta’s restrictions are after 6:00 p.m.
Juanita
So she is a morning/afternoon person.
Bill
Sophie’s restriction is Wednesday.
Juanita
Wednesday is a slow day, so that shouldn’t be a problem.
Bill
Min-Jee doesn’t work on Tuesday morning.
Juanita
A full-timer shouldn’t get a restriction on 10% Tuesday! . . . That doesn’t matter too much, we can put her in the afternoon.
Bill
I don’t see any big problems with the restrictions of the full-timers. I think we should start with our busiest day—10% Tuesday—then work to our least busy.
Juanita
Well, we have to start somewhere, and your suggestion seems like a good one!
Bill
Dulani is available after 5:00!
Juanita
But that’s just six hours he can be available. . . . . First let’s figure out Cashier Columns 1 and 2. Column 1 is a sixteen-hour block, and 2 is fifteen hours. We need seven and eight hour shifts to fill in these columns. Dulani’s six-hour shift does not work well here.
Bill
You are right. Let’s find other part-timers who can work seven or eight hour shifts.
Juanita
We have Ingrid who needs to be off work at 3:00 p.m.
Bill
OK, let’s start her at 7 in Column 1. At 3, she will have a full shift and can leave.
Juanita
OK, Ingrid from 7 to 3 on Tuesday.
Bill
Is there a part-timer who can relieve Ingrid?
Juanita
Hasan can come in. He can take the evening shift.
Bill
Put him down then. That takes care of Column 1. What else do we have for part-time help on Tuesday?
Juanita
Only Ziva. But she can come only after 4:30.
Bill
Let’s see: 4:30 to 11 is six and a half hours, which almost makes a seven-hour shift . . . . . . Let’s book Ziva in for 4:30 to closing. If we can’t fill that 4 to 4:30 spot, we can go shorthanded here.
Juanita
I think we have no choice here. None of the other part-timers can help us on Tuesday.
Bill
Can’t Dulani work evenings?
Juanita
That’s right. Now we can put him in.
Bill
The remaining shift is only for three hours. From 5 to 8. We can use him in Column 3 . . . . There, he is penciled in!
Juanita
This is not looking good. All the available part-timers are used up for Tuesday, and we still have about 25 hours to fill for that day.
Bill
I think we’re going to have to bring in all three full-timers to these spots. But let’s keep on filling in the rest of the week for part-timers.
Juanita
Saturday is our next busiest day. Aaron and Natalia can work this day. Morning or evenings?
Bill
Let’s give Aaron an eight hour morning shift and Natalia a seven-hour evening shift.
Juanita
OK. Hey this is fun! We are in control of people’s lives!
Bill
Don’t let the power go to your head. You are only an assistant manager. . . . . And Dulani for a three-hour shift between 5 and 8?
Juanita
He’s not going to like two three-hour shifts in one week.
Bill
Unfortunately his first job doesn’t work too well with our scheduling. He’ll have to accept it. . . . . What other part-timers can we plug in?
Juanita
Ingrid, but with her "before" 3 restriction.
Bill
OK, let’s give her from 8 until 3.
Juanita
That’s not good! This leaves a two-hour empty block between her and Dulani that will be hard to fill.
Bill
Instead, let’s have Ingrid work from 8 to 2. This will leave a three-hour block that we can give to a trainee later.
Juanita
Good idea. I don’t see any more trainees we can use for Saturday.
Bill
Next is Friday. What part-timers can fit there?
Juanita
I think we had better give Dulani a 5 to closing shift.
Bill
OK.
Juanita
Similar to Saturday’s schedule, let’s block a six-hour shift from 8 to 2, then a three-hour trainee shift to fit with Dulani’s column.
Bill
Can any part-timer take on the 8 to 2?
Juanita
Natalia can!
Bill
Put her in.
Juanita
Can we make use of Aaron?
Bill
No, he only works weekends.
Juanita
How about Ingrid? Can we work with her “before 3” restriction?
Bill
If we use Ingrid in this way, we’ll need to have another short block between 2 and 5, which could be filled by a trainee. This will likely mean having two trainees running tills at the same time. We can’t do this.
Juanita
OK! But if we block off the later half of Column 2, say from 12 to 8, we won’t be setting up the schedule for two trainees at the same time.
Bill
Good idea. Is there a part-timer who can do this?
Juanita
Hasan can work Fridays.
Bill
He is now booked from 12 to 8. . . . . . What’s left for Friday?
Juanita
We have a four-hour block in Column 2. We could book Ingrid for that shift, or we could give it to a trainee.
Bill
Let’s keep it open for now.
Juanita
And we have a seven-hour block in Column 3 that looks good for a full-timer.
Bill
So let’s call Friday done for part-timers. . . . . . I think we need to do a little check on hours.
Juanita
So far, Aaron has 8; Hasan has 16; Dulani has 12; Natalia has 7; Ingrid has 14; Ziva has six-and-a-half. We can use each part-timer at least one more time.
Bill
Thursday is next!
Juanita
Let’s find two people to work that 15-hour block in Column 1. Who can do this part-time?
Bill
Ingrid opening until 3? Hasan 3 until closing?
Juanita
Sounds good. . . . . That puts Hasan and Ingrid at 24 and 21 hours. I don’t think we should give them any more. We could have trouble finding enough hours for the full timers.
Bill
Dulani from 5 to 9? That’s a four-hour shift for him!
Juanita
Every time we use his available hours, it creates a trainee block in the middle of the day. Let’s try to see if we can use other part-timers before we go back to Dulani.
Bill
Ziva after 4:30?
Juanita
That’s not much better than Dulani.
Bill
There’s no other part-timer that can fit that spot. I’m afraid we’ll have use Ziva or Dulani there.
Juanita
Let’s go with Ziva. . . . From 4:30 to 9. We can be a little short-handed from 4 to 4:30.
Bill
But look closer. The morning part for Column 2 is eight hours. And Column 3 is also eight hours. We can fill those spots with full-timers when we get there.
Juanita
Good eye! Let’s go to Sunday.
Bill
Let’s give Natalia the morning shift.
Juanita
We can’t do that. She is closing Saturday night. So we can’t ask her to be at the store the first thing in the morning.
Bill
OK, she can close on Sunday. Let’s start her at 3 for an eight-hour shift.
Juanita
And we might as well put Aaron on for Sunday morning. From 8 to 3.
Bill
Let’s put Dulani in the 5 to 9 block of Column 2. We should be able to easily fill that 11 to 5 block.
Juanita
How about Ingrid?
Bill
You are forgetting that she has that 3 o’clock restriction. Using her at that place will create a difficult spot to fill. I think we can give that block to a full-timer. And that four hour block in Column 3 can go to a trainee.
Juanita
Let’s do a little hours check again.
Bill
OK So far, Aaron has 15; Hasan has 24; Dulani has 16; Natalia has 21; Ingrid has 21; Ziva has 11.
Juanita
We have three part-timers over 20 hours. I think we had better quit giving these workers any more time. Ziva and Dulani can take a few more hours for Monday and Wednesday, but they are both evening people.
Bill
I prefer giving Ziva the hours because she is able to come in a half an hour earlier than Dulani.
Juanita
OK, let’s give her the 4:30 to closing shift for Monday and Wednesday.
Bill
Done! Ziva now has another 13 to make 24 hours for this week. . . . . Let’s move to full-timers.
